Privacy policy

Aspire College of Higher Education (Pvt) Ltd (“Aspire”, “we”) runs this website. This page explains what personal information we collect through it, why, who else handles it, how long we keep it and what you can ask us to do with it. If anything here is unclear, email [email protected].

What we collect

  • Enquiry forms: your name, phone or WhatsApp number, the programme you are interested in and any message you write.
  • Online application: your name, email, phone number, NIC or passport number, date of birth, address (optional), chosen programme, and the documents you upload, such as results slips, identity documents and photographs.
  • The website assistant (chat): the questions you type and the answers given. If you ask a counsellor to follow up, also the name, phone number and email you leave.
  • Technical information: your IP address is used briefly to limit how often forms and the assistant can be used, which protects the site from abuse. We do not use advertising or tracking cookies.

How we use it

Only to answer your enquiry, assess and process your application, and contact you about the programmes you asked about. We do not sell your information or use it for unrelated marketing.

Who else handles it

We use a small number of service providers to run the website:

  • Cloudflare hosts the website and stores enquiries, applications and uploaded documents. Uploaded documents are kept in private storage that is not reachable from the internet.
  • Anthropic provides the AI that answers questions in the website assistant. Your chat messages are sent to it to generate replies. Please do not type identity numbers or other sensitive details into the chat.
  • Resend delivers the email notifications that tell our admissions team about a new enquiry, application or call-back request.
  • WhatsApp (Meta) is used if you choose to continue a conversation with us on WhatsApp, and may be used to alert our counsellors to a call-back request.

Some of these providers process data outside Sri Lanka. They handle it only to provide their service to us.

How we protect it

Only authorised admissions staff can see applications and documents. Staff sign in with a password and a second code from an authenticator app, and every time a document is opened, the system records who opened it and when.

How long we keep it

  • Documents uploaded to an application form that is never submitted are deleted automatically within a few days.
  • Enquiries, applications and their documents are kept for as long as we need them to handle your enquiry or application, and afterwards only for as long as we must keep student and admissions records.
  • A chat conversation is kept in your browser only until you close the tab.

Your choices

You can ask us for a copy of the information we hold about you, ask us to correct it, or ask us to delete it where we do not need to keep it. Email [email protected] or call +94 77 389 9899, and we will respond as soon as we can.

Changes

If we change how we handle personal information, we will update this page and the date at the top.
